The Position
Parent & Child at the Heart
As HR Specialist, you will support the people and processes that enable teams across EMEA to thrive. You ensure a structured, accurate, and welcoming HR experience through excellent administration, data management, and operational support.
Agility, Speed & Execution
This is a hands‑on role requiring organisation, accuracy, and a solutions‑oriented mindset. You will partner closely with the EMEA HR team to keep processes running efficiently, continuously improving workflows and identifying opportunities to simplify and optimise.
This role sits within the EMEA HR organisation, reporting to the HR Director in Amsterdam.
Main Responsibilities
HR Administration & Support (EMEA)
- Provide day‑to‑day organisational and administrative support across the HR function (HRBPs, C&B, L&D, and HR Director).
- Manage HR documentation, employment contracts, employee files, and templates.
- Maintain HR systems (HiBob, Cleemy, Egencia and others), ensuring accurate data and smooth user experience.
- Support payroll preparation and validation in coordination with payroll vendors.
- Coordinate onboarding administration, documentation, systems access and employee data accuracy.
- Support absence and illness tracking with timely HRIS updates.
- Prepare HR reports and dashboards (headcount, attrition, absenteeism, etc.).
- Support troubleshooting and first‑line guidance for HR systems and process queries.
- Ensure HR compliance with local labour laws and data protection requirements.
- Manage employee shop budget tracking and reporting.
- Maintain structure in shared drives, folders, document workflows and naming conventions, ensuring clarity and accessibility for HR teams across EMEA.
Process & Systems Optimisation
- Identify opportunities to streamline HR processes, reduce administrative friction, and improve efficiency.
- Contribute to HR digitalisation and automation initiatives.
- Create or update SOPs, workflows, and HR process documentation.
- Support continuous improvements in data quality, reporting reliability, and HR system usage.

Requirements
- Proven experience in HR administration, HR operations, or a similar support role.
- Experience handling multiple stakeholders and priorities.
- Strong organisational and administrative skills with high attention to detail.
- Proficient in Microsoft Office and comfortable learning new systems.
- Experience working with HRIS platforms (HiBob, Workday, SAP, or similar).
- Experience supporting payroll inputs or maintaining employee data accuracy.
- Understanding of EMEA employment law and compliance considerations.
- Strong analytical mindset and ability to use HR data and dashboards.
- Customer‑service mindset with responsive, professional communication.
- Able to work effectively in a dynamic, international environment.
- Bachelor’s degree in HR or relevant field preferred.
